Documentation for childcare centers

A parent should never find out at pickup.

Your teacher says what happened. Notavida writes the report, your director approves it, and the parent signs on their phone. Documented, approved, and signed while it is still fresh.

Free plan available. Works on the iPads and phones you already have.

Your teacher cannot watch twelve children and fill out a form.

So the report waits. It gets written from memory at the end of the day, handed over on paper at pickup, and filed in a cabinet. By then the parent has already seen the bump, and the conversation starts with "why did nobody tell me?"

We run a licensed childcare center in Texas. We built Notavida because that was happening to us.

Four steps. Minutes, not days.

1

The teacher talks

One tap on the iPad. They say what happened, in English or Spanish, without leaving the classroom.

2

The document writes itself

Notavida fills in the report and asks for anything missing, like the time or where it happened.

3

Your director approves

Nothing reaches a parent until someone you trust has read it.

4

The parent signs on their phone

They get a text, read it in their language, and sign. The document locks and files itself.

See your own document in ten seconds.

Type your center's name, add your logo, and pick a color. This is what your parents would receive.

One tap for the things that happen every day.

You choose which buttons your staff see.

Incident or illness

Bumps, bites, fevers, and anything a parent needs to know today.

Behavior

A clear, calm record of what happened and how staff responded.

Morning drop-off

What staff saw when a child arrived, before your day with them began.

School pickup

How a child was when the school handed them to you.

Staff warning

Tardiness, conduct, and performance, signed by the employee.

Built for the day licensing walks in.

Every document is complete, signed, and one tap away.

Matches the state form

In Texas, every report also prints on the official HHSC Form 7239, filled in for you. Other states use our general report while we add their forms.

Your look, your name

Your logo, your color, your font. Parents see your center, not ours.

English and Spanish

A teacher can speak Spanish and the parent can read English, or the other way around. Both versions are kept.

A locked record

Once signed, a document cannot be edited. Corrections are added as a separate addendum, with a full history of who did what and when.

Two children, two documents

When an incident involves two children, each family gets their own report. Neither one names the other child.

You decide who sees what

Teachers see their own classroom. Directors see their center. Owners see every center. Change any permission with a switch.

Staff warnings too

Tardiness, conduct, performance. Written, signed by the employee, and kept private from other staff.

See the patterns

Which classroom, which time of day, which child keeps showing up. So you can fix the cause.

Be the center that tells parents first.

Parents trust the center that reaches them before they have to ask. Your teachers stay with the children. Your director stops chasing paper. And when someone questions what happened, you open the record.

Simple pricing. Grow without paying double.

No credits and no counting. A center that has to ration incident reports is less protected.

Questions directors ask

Do I have to replace the childcare app I use now?

No. Keep it for billing, attendance, and messaging. Notavida does one job: documentation and signatures.

What do teachers need?

An iPad or a phone. It opens from the home screen like any other app. There is nothing to install from an app store.

What if a parent does not sign?

They get reminders. They can also sign on your iPad at pickup. If they decline, you record that with a witness and the document still locks.

Is a signature on a phone valid?

Electronic signatures are recognized under federal and Texas law. Each one is stored with the time, the device, and a fingerprint of the exact document that was signed. Ask your attorney how this applies to your center.

Where are children's records kept?

In Notavida's own database. They are never placed in a marketing or messaging tool. Recordings are deleted once a report is final unless you choose to keep them.

Does it write the report by itself?

It writes the draft from what your teacher said, and only from what they said. A person at your center always reads and approves it before it goes out.

My state is not Texas. Can I use it?

Yes. You get our general incident report, built from the most complete state form we have. We add official state forms as centers in those states join.
